CRM for Real Estate Agents: Pipelines, Texting, and What Agencies Need
Listing / buyer desk
Speed-to-lead, showings, and desks that are not a generic agency OS.
- Lead capture
- ISA / nurture
- Showing
- Contract

CRM for real estate agents is a speed-to-lead and long-nurture problem. Agents, teams, and brokers need inbound leads captured, assigned, texted, and kept warm through months of listing and buyer cycles. A generic sales CRM that cannot text from a company number, or an all-in-one marketing OS with no MLS-shaped workflow, will fail different buyers for different reasons.
This is one page for that job. Realtor, agent, broker, and “best CRM for realtors” wording all belong here. There is no separate /crm/realtors URL.
What a real-estate CRM has to do
- Lead capture. IDX sites, Zillow/Realtor.com style portals, Facebook lead ads, and landing pages should land in one database with the source attached. If source is missing, coaching and spend decisions are guesswork.
- Speed-to-lead. New internet leads go cold in minutes. The CRM has to notify someone, route the lead, and make calling or texting a one-tap action — not a CSV export. After-hours showing requests are a missed-call problem as much as a CRM problem; see missed-call text back for that workflow.
- SMS and email follow-up. Two-way text from a logged number, plus templates and longer drips for people who are 6–18 months from a move.
- Appointments. Showing, listing presentation, buyer consult. Calendar sync and reminders matter more than a pretty pipeline board.
- Pipeline stages that match the business. New lead, attempted contact, appointment, under contract, closed is a different object model than a software agency’s “onboarding / retain.” Seller leads and buyer leads should not share one undifferentiated bucket if the team reports them separately.
- Long nurture. Sphere and past clients are a database, not a weekly blast. Smart lists and tasks beat a funnel that assumes everyone buys this month.
- Team assignment. Round-robin, first-to-claim, ZIP/price rules, ISA vs agent handoff. Solo agents can ignore this; 15-person teams cannot.
- Database reactivation. Import from a prior CRM, keep history, and run a campaign without destroying source data.
- Integrations. Calendar, email, dialer, transaction software, and the lead sources you already pay for. Closed platforms punish teams that change websites every two years.
If the buyer is a marketing agency housing many client databases, start with CRM for marketing agencies instead of this vertical page. If the question is whether HighLevel is the wrong product category, not whether an agent should pick Follow Up Boss, use GoHighLevel alternatives.
Often the better fit for teams whose job is speed-to-lead
Follow Up Boss
Follow Up Boss is built for agents and teams that live on internet leads and want calling and texting inside the CRM, with a website and lead sources plugged in around it. The public pricing page is explicit about an open platform and 200+ lead-source connections.
Public prices: Grow $69/user/month (calling add-on $39/user); Pro $499/month including 10 users, extra users $49; Platform $1,000/month including 30 users, extra users $20. Annual billing on that page is $58 / $416 / $833 with extra-user rates of $33 / $41 / $17. Grow includes lead distribution, Action Plans, calendar/email sync, and reporting. Unlimited calling and texting for all users is listed on Pro and Platform, not as a Grow default.
Limits: it is a real-estate CRM, not an agency white-label OS and not an IDX website product. Choose it instead of HighLevel when the operating system is lead response for a real-estate team, not funnels-plus-sub-accounts for an agency.
Often the better fit for small teams that want a flat CRM bill
Wise Agent
Wise Agent is a flat-rate CRM for a solo agent or a small team that wants contacts, drips, a calendar, and transaction tools without paying per seat the way most real-estate CRMs do.
Public prices: CRM $49/month or $42/month billed annually ($499/year); CRM + WiseSocial $69/month or $59/month annual. Up to five team members on a shared login. Extra members $20/month per batch of five; extra individual logins $20/month; WiseText SMS $11/month plus an $80 registration fee.
Limits: shared-login CRM is a different permission model than per-user Pro seats at Follow Up Boss. Enterprise is custom. Choose Wise Agent when the constraint is a predictable small-team bill, not when you need Follow Up Boss’s lead-source mesh or HighLevel’s agency sub-accounts.
Consider when the product is an MLS/IDX growth stack
BoldTrail (kvCORE)
BoldTrail (kvCORE) is the brokerage-shaped stack: website, CRM, and lead generation sold together, often through an office relationship rather than a card on a pricing page.
BoldTrail’s public pricing page currently asks for a demo rather than listing plan stickers. This page does not invent third-party dollar ranges. Confirm cost with the vendor.
Limits: quote-only pricing and a product shaped around real-estate websites plus CRM. Choose it when IDX/MLS web presence is the center of the stack. Do not treat it as a documented HighLevel equivalent.
A fit when the buyer is an agency, or needs funnels with the CRM
HighLevel
HighLevel belongs on a real-estate shortlist when the buyer is a marketing shop housing client accounts, or an agent who wants funnels and SMS more than a real-estate-only lead desk. It is not documented as a native MLS/IDX CRM.
Current platform stickers and usage meters stay on GoHighLevel pricing. Snapshot templates can copy configuration into a new location; they do not copy contacts. See snapshots.
Limits: HighLevel is not documented on those pages as a native MLS/IDX CRM. Choose Follow Up Boss or a brokerage IDX stack when the job is real-estate lead desk plus listing site. HighLevel is the stronger shortlist item when the job is an agency OS or a custom funnel-and-SMS system you will staff yourself.
Editorial verdict
There is no automatic HighLevel ranking here. Follow Up Boss is built for real-estate speed-to-lead and an open lead-source catalog. Wise Agent is a flat-rate small-team CRM. BoldTrail is a quote-based IDX-plus-CRM stack. HighLevel belongs on the list when sub-accounts, funnels, and SMS automation are the actual product — including for agencies serving real-estate clients — and is a weaker default for a working agent whose website and leads already live in a real-estate-native stack.
