White Label CRM: What Agencies Are Actually Buying

A white-label CRM is software you can present under your brand while still running client work in separated accounts. Most “CRM” products are not that. Many “white label” claims are logo swaps with no client isolation, no rebilling, and no branded mobile path.

What to score before you look at logos

  1. Branding depth. Login logo is the shallow end. Ask whether clients see your domain, your desktop or mobile app name, and your company in transactional email — or only a favicon on an otherwise vendor-branded product.
  2. Client account separation. Agencies need isolated databases, users, and permissions per client. Extra seats inside one CRM are not the same as sub-accounts or locations.
  3. Domains. A custom hostname for the client login is a different control than branded links inside messages. Vendors that document both should say so.
  4. Mobile branding. A vendor-branded companion app is not a store-listed app under your developer account. The second path usually has store fees, review, and a separate subscription.
  5. Billing and rebilling. Can you pass usage through, mark it up, or only send a separate invoice? Platform price and client price are different meters.
  6. Automation. Campaigns, workflows, and missed-call or form follow-up matter if the CRM is also the marketing system. A pipeline CRM with no messaging layer is a different purchase.
  7. CRM and pipelines. Objects, stages, and reporting should match how you sell. White-label wrapping does not fix a weak pipeline model.
  8. Integrations. Calendar, payments, ads, and the client’s existing stack. “Has an API” is not the same as the connector you actually need.
  9. Support. When a client’s login breaks, they will call you. Confirm whether the vendor will talk to your clients, only to you, or to neither without a higher support SKU.
  10. API. Basic versus advanced access, rate limits, and whether automation of account creation is a paid tier.
  11. Data portability. Export of contacts, conversations, and assets if you leave. White-label contracts that trap client data are an operating risk, not a branding benefit.
  12. Pricing model. Platform subscription, per-location, per-seat, wholesale product minimum, or usage. Two products with similar logos can have unrelated bills.

HighLevel — when the facts support it

HighLevel is a strong candidate when the agency’s product is a branded client operating system: isolated sub-accounts, pipelines, funnels, and messaging, with optional rebilling. Public plan prices and usage meters are documented on the pricing page. Desktop web-app white-label is confirmed in the FAQ without a named plan; do not promise it on Starter from public pages alone.

HighLevel is a weak candidate when you needed a marketplace of listings and reputation products, or when the “CRM” is really one company’s inbound hub. Those jobs have better matches below and on the alternatives page.

Vendasta — white-label client app, different product

Vendasta’s public pricing page is explicit about white-label on Professional ($499 minimum) and Premium ($999 minimum): logo, renamed Business App, Vendasta branding removed. Starter ($99 minimum) does not list that white-label row. Extra seats are $30, $35, and $65 by tier.

Choose Vendasta when the offer is reselling a catalog of local products through a client portal you can brand. Do not treat it as a drop-in HighLevel sub-account CRM. The public cards describe wholesale spend, not HighLevel SaaS Mode.

Products that are usually the wrong category

HubSpot and Salesforce are major CRMs. They are generally not white-label CRM platforms in the sense this page uses: you do not get HighLevel-style client sub-accounts that you rebrand and rebill as your software. HubSpot partner programs and Salesforce consulting are not the same purchase as a white-label client OS. Use them when the client (or you) should live in that CRM under the vendor’s brand.

ClickFunnels lists branding removal on Dominate ($5,997/year). That is unbranding a funnel workspace, not a white-label CRM with client account separation.

Score branding depth, account isolation, domains, mobile, rebilling, automation, pipelines, integrations, support, API, portability, and price shape before you pick a logo. HighLevel fits agencies whose product is a branded client OS and who will confirm which branding layers are actually in the plan. Vendasta fits agencies whose product is a wholesale marketplace. HubSpot and Salesforce remain better CRMs for many teams that do not need white-label at all. If the deliverable is a client workspace for files and invoices rather than a branded CRM login, use client portal software.
