Client Portal Software: Five Models That Are Not the Same Product
Last verified: 2026-08-27
White-label client portal software gives customers a signed-in place for information, files, messages, billing, or services. “Portal” is not one product. An agency communications hub, a CRM membership login, a course campus, a SaaS account area, and a document vault fail different buyers if you treat them as synonyms.
White-label client portal and marketing-agency client portal queries belong here. Branded HighLevel login domains are a different job — GoHighLevel white label. Reseller mechanics sit on white-label SaaS. A member community with posts and groups is online community platform software. A sequenced curriculum is online course software, not this client-file URL.
Five portal models
- Agency / client communication portal. Messaging, files, invoices, contracts, and tasks under your domain. Assembly (formerly Copilot) is built as this kind of client experience plus a CRM. Official FAQ: Free plan (5 active contacts, 1 internal user, 50 build credits/month, 3 apps); Starter $29/month billed annually vs $49 monthly; extra build credits $0.60; extra apps $5/month. Professional adds custom domains and removing the Assembly badge; Advanced adds audit log, client access permissions, MFA, and HIPAA BAA. Exact Professional/Advanced dollar cards did not parse as plain numbers on the public page besides the Starter example — confirm on assembly.com/pricing.
- CRM / membership portal. HighLevel’s Help Center describes a Client Portal as a hub for membership courses, communities, and affiliate tools, with app permissions per sub-account and optional magic-link sign-in. Contacts sign into courses and communities — not a generic “files and invoices” workspace unless you build that separately. Setup docs: client portal how-to and unified login experience.
- Membership / course portal. ClickFunnels plans include course counts (Launch 3, Scale 6, Optimize 10, Dominate 20) plus community and workspaces. That is a creator/course campus, not an agency file portal. Full comparison: GoHighLevel vs ClickFunnels.
- SaaS account portal. End customers log into the product you resell (HighLevel SaaS Mode / white-label desktop). That is SaaS Mode, not this category’s “send the client a folder.”
- Document / customer portal on a vertical OS. Buildertrend and Enerflo document homeowner/client portals tied to a job or solar project. Those portals are features of construction or solar software, not a standalone agency portal SKU. See construction CRM and solar CRM.
How to choose without mixing models
If clients need invoices, contracts, and a branded inbox, start with a dedicated portal product (Assembly or similar) or a vertical OS that already includes one. If clients need courses and a community attached to a CRM, HighLevel’s memberships portal is the documented match. If clients need to log into software you resell, that is white-label / SaaS Mode, not a client-portal SKU.
HighLevel is the wrong default when the deliverable is a polished client workspace for an accounting or consulting firm and you have no use for funnels or sub-account CRM. Assembly is the wrong default when you needed HighLevel automations and only a course login. ClickFunnels is the wrong default when you needed agency file exchange rather than funnels and courses.
Agency CRM context: best CRM for marketing agencies. HighLevel prices: GoHighLevel pricing.
