Dental Scheduling Software: Chair Time Versus Patient CRM

Last verified: 2026-08-27

Dental scheduling software books chairs against a live practice-management calendar: visit type, provider, operatory, reminders, cancel/reschedule, and — when the vendor actually syncs — write-back so two front desks cannot double-book the same slot.

Treatment-plan follow-up and unscheduled production are CRM for dental practices. Generic business booking pages without PMS sync are appointment scheduling software. Medical clinics: medical scheduling software.

What a dental scheduler has to survive

  • Online booking that reads real availability. A pretty widget that does not know the PMS will create phantom appointments.
  • Appointment types. New patient, emergency, hygiene, consult — different durations and forms.
  • Provider and chair. The slot is not “anyone on staff.” It is a person plus an operatory.
  • Reminders, reschedule, cancel. Confirmations are table stakes. The patient has to be able to move the visit without calling twice.
  • Intake/forms where the vendor documents them — often a module, not the same SKU as booking.
  • PMS integrations. NexHealth’s pricing page lists Dentrix, Eaglesoft, Open Dental, Curve, and many others under EHR/PMS read-write via its Synchronizer.
  • Multi-location. NexHealth’s FAQ: locations can be added; talk to sales for package changes.

NexHealth — booking on the health record, quote-only

NexHealth’s public pricing page is a demo/quote flow, not a dollar card. FAQ: month-to-month billed monthly, or yearly paid up front; no cancellation fees; annual non-renewal needs 90 days’ notice. All packages include EHR integration (Synchronizer read/write), encryption of patient data at rest, and white-glove support. Third-party $350 starting prices are not used here.

Choose NexHealth when the job is real-time scheduling (and often forms/comms/payments as modules) on an existing dental PMS. It is a heavy default if you only needed a Calendly link for a consult that does not touch the chart.

HighLevel calendars — the wrong default for chair time

HighLevel calendars can take a new-patient marketing booking and fire reminders. They are not documented as Dentrix-class operatory sync. Use them for the marketing consult; do not pretend they are the office schedule. Prices: GoHighLevel pricing. HIPAA add-on facts stay on that pricing page and on dental CRM.
